Your information, handled with purpose
A conversation starts with trust.
This notice explains adult enquiries, the private contribution portal and the optional on-device assistant. It is separate from any later school participation, artwork, publicity or research consent.
Who handles your enquiry
The Festival Secretariat, coordinated through Pamumvuri PVO, uses your details to respond to your interest in The Matters That Count Arts Festival. Enquiries are directed to the relevant authorised school, creative, safeguarding, research or partnership lead. For questions, contact tapiwa@nojobsjustwork.com.
What the form collects
Your adult contact name, email, location, chosen participation route and interests are required. School enquiries also require a school name and role; community youth-group enquiries require an organisation name. A phone number, organisation, contribution type, decision stage and short message may be provided where relevant. We record the time, enquiry reference, consent choices and version of this notice.
We also record the festival page from which you opened the form and, where present, campaign source, medium and campaign labels. These help us understand which invitations bring people to the festival. Do not put private or sensitive information into campaign links.
How we use it
We use the information to assess fit, answer questions, clarify opportunities and manage follow-up. Occasional festival news and invitations require the separate optional checkbox. Leaving it unticked does not affect your enquiry. You can withdraw permission for those updates by email.
Enquiries are saved in the website’s hosted database, with access restricted to authorised site administration. Sponsors and other prospective partners do not receive the enquiry list. An on-screen receipt confirms storage; this website does not send an automatic confirmation email.
Young people and sensitive information
The form is for adults aged 18 and over. Parents, guardians and authorised school or responsible youth-group representatives may enquire on behalf of younger students, using their own details. Please do not submit student names, diagnoses, personal stories, artwork, private journals or safeguarding reports here.
Permissions for participation, display, recording, publicity and any proposed research are handled separately at the relevant stage. Research is optional and subject to the required approvals.
Private contributions
After onboarding, the Secretariat can issue a time-limited entry code tied to an adult email. The portal records the work, title, brief, statement, caption, rights and AI declaration, permission references, technical notes, receipt and consent version. Files remain in private storage for authorised review and have no public download endpoint. Public display and media use require separate clearance. Do not upload medical records, private journals, completed consent forms or incident reports.
Entry codes are stored as hashes. Upload logs and review records are restricted to authorised administrators. The team must agree the relevant retention and permission arrangements before issuing codes; an indefinite public archive is not assumed. You may ask the Secretariat to correct or remove a contribution using its reference.
The festival assistant and studio
The assistant searches published festival answers. Chat text stays in the page’s memory and is cleared when you reload or use Clear chat. It is not sent to the Secretariat. A human enquiry is a separate, explicit form submission.
If you enable on-device AI matching, your browser downloads a model and runtime from Hugging Face and jsDelivr. Those services receive normal download requests, including network information; the application does not send your question to them. The model then ranks published answers in your browser. Your browser may cache model files. Basic guide search remains available without this download. The Participation Studio uses your choices locally to build a starting plan; it does not store a participant profile.
Simple website measurement
The site counts page views, interest-link clicks, form starts and saved enquiries by day and page. These counters do not contain names, email addresses or persistent visitor identifiers. Browser “Do Not Track” and Global Privacy Control signals disable browser event counters. Operational counts of saved enquiries remain part of managing the waitlist.
Session storage temporarily remembers the festival page and campaign labels leading to the form; it does not store your enquiry or contact details. No advertising trackers or tracking cookies are added by the festival application. Hosting and access services may use their own operational logs or authentication cookies.
To limit automated submissions, the server uses a daily hash of the connecting IP address and a request counter. It does not save the raw IP address in the festival database. Old counter records are cleared during subsequent successful submissions.
Retention, correction and removal
Enquiry information is retained while it is needed to manage your interest and the inaugural festival, with a review after that edition. Any longer retention should have a continuing purpose, such as an agreed partnership or your ongoing updates permission. Contact the Secretariat to ask about, correct or request removal of your information. Include your enquiry reference if available; please do not send sensitive student information.
A different kind of help
This form is not monitored as a confidential support or emergency service. A concern about a young person should go through the appropriate parent, trusted adult, school safeguarding contact or local emergency route, according to the situation.
